Providence Health & Services Executive Assistant in Renton, Washington
Providence is calling an Executive Assistant, Community Partnerships to Providence Health & Services in Renton, WA.
We are seeking a Executive Assistant , Community Partnerships to provide administrative and program coordination support to leaders in the community partnerships division. The position must develop deep and strong professional relationships with division colleagues in local markets, peers in key community partners and other external partners as needed.
In this position you will:
Support the executives and directors of the community partnership division with scheduling and calendar management, to assure a logical flow for scheduling of activities, including preparation and planning time. Either work with other assistants or works independently to schedules meetings, travel, and outside commitments.
Facilitate, and perform administrative functions in support of meetings of executive groups as assigned. Support activities include timely collection and preparation of draft agendas; prioritizing items in consultation with executives to finalize agenda; reserve space; arrange catering; dissemination of meeting materials; coordination of meeting records, evaluations, and follow-up reports.
Support the executive(s)/Director(s) through positive communications and relations with internal and external customers in an environment that is open and inviting. Maintains relationships with, and responds to contacts from, internal and external customers (such as donors, executives, Board members, professional association staff, consultants) and others with the purpose of exchanging information, scheduling meetings, and communicating confidential and non-confidential matters involving the senior executive and the health system. This support includes significant interaction with senior leaders reporting to the executive(s)/director(s) this position supports. Position provides appropriate referrals, or informs the executive(s)/director(s) when a situation warrants direct attention.
Support the management of assigned strategic projects within the Division, to include any reporting, tracking, interface, or support needed.
Arrange travel and logistics for community partnership division leaders.
Manage contracting and facilitation of payment for contractors brought on to projects.
Support the development/implementation of communications strategies/content, including aggregating, editing, designing content for newsletters, SharePoint, presentations, etc.
Update and maintain assigned SharePoint site/Division website in collaboration with the managers and directors of community partnerships.
Required qualifications for this position include:
5 years of demonstrated experience in administrative and coordination skills, preferably in the health sector, or an equivalent combination of education and experience.
Proficiency with Microsoft Office Suite.
Demonstrated project management expertise.
5 years of experience supporting multiple executives
Preferred qualifications for this position include:
- Bachelor’s Degree.
