Providence is calling an part time Office Assistant III (0.8 FTE/32 hours per week, Day Shift) to work in Respiratory Therapy in Providence St. Peter in Olympia, WA.

Office Assistants perform a variety of clerical duties in support of office or department operations. Duties focus on clerical processes and customer service, and involve responding to inquiries, maintaining documents, files, and data base records; typing correspondence and other material, extracting and compiling data; arranging meetings and appointments; and other clerical functions.

In this position you will:

  • Utilize basic knowledge of the organizational structure, hospital departments and department operations with ability to perform a variety of clerical duties in support of office or department operations. • Demonstrate knowledge of the department’s functions policies and procedures. • Ability to effectively explain the dept. policies and procedures and assist customers with inquiries and concerns. • Screen callers for the supervisor using discretion and independent judgment; refers calls or provides information as appropriate. • Perform coordinating activities such as scheduling meetings and appointments, preparing meeting agendas and materials. May take minutes of meetings.

  • Maintain knowledge of the department’s computer systems, databases, and others as necessary to the position. • Effectively utilize basic computer skills to operate PC and use common office software and office equipment. • Perform word processing, preparing and writing correspondence, reports, forms, and other documents. • Demonstrate proficiency with spreadsheets and reports of data and information, which may include financial or numerical data, calculations, charts and graphs. Present data in a variety of ways, including development of ad hoc reports as requested.

  • Assist with projects as needed by compiling information, preparing information packets, performing word processing, researching, filing, etc. • Use personal computer, copiers, fax, and other office equipment. • Demonstrate initiative to participate in project and team functions and expand knowledge of the area served. Knowledge of filing systems and ability to file and retrieve a variety of documents. • May coordinate educational programs and special events such as seminars, workshops, and fairs.

  • Demonstrate ability to work with patients, managers and clients of various ages’ groups. • Consider patient, manager/client background and work history to effectuate positive work experience/relationship. • Respond appropriately according to age related needs and considerations.

Qualifications:

Required qualifications for this position include:

  • Two (2) years Clerical experience preferably in a healthcare setting

Preferred qualifications for this position include:

  • High School Diploma or GED
