Providence Health & Services Administrative Assistant - Nursing Administration Ii in Olympia, Washington


Providence is calling an Administrative Assistant (1.0 FTE, 40 hours per week Day Shift) to work in Nursing Administration II at Providence St Peter Hospital in Olympia, WA.

Administrative Assistants perform a variety of specialized clerical duties in support of administrative operations of departmental programs or projects. Duties focus on assisting the supervisor and staff with project support duties; organizing and scheduling outside preceptors; tracking expenditures and program information; producing statistical and summary reports; reviewing and monitoring applications, permits, and funds; scheduling; coordinating events; developing written materials and answering correspondence.

Work at this level typically involves a variety of complex clerical tasks requiring substantial knowledge of the department's work commitments and projects. Considerable independence and initiative is involved in determining how the work is performed and appropriate actions to be taken.

In this position you will:

  • Prepare correspondence, maintain appointment schedules, maintain incoming and outgoing mail, maintain files, orders supplies, prepare meeting agendas and minutes. Attend required meetings.

  • Assist director and staff with projects as needed by researching and compiling information.

  • Review documents, such as records, applications, permits, contracts, certificates, credentials, invoices, etc. for completion, accuracy, content, and conformance with requirements. Take actions as appropriate. Strong emphasis on accuracy and timeliness of legal contracts and all policies.

  • Maintain document and filing systems.

  • Perform word processing; composes correspondence, reports, forms and other documents. Use personal computer, copiers, fax, and other office equipment.


Required qualifications for this position include:

  • One (1) year clerical experience

  • Computer spreadsheet or database skills

Preferred qualifications for this position include:

  • Associate's Degree

  • Medical office clerical experience

  • Medical Terminology experience

  • Knowledge of joint commission standards, Six Sigma or other similar trainings
