Providence Health & Services Provider Concierge Coordinator - Revenue Capture in Everett, Washington


Providence is calling a Provider Concierge Coordinator (0.75 FTE, Day Shift) to work in the Revenue Capture Department at Providence Medical Group Northwest Washington in Everett, WA.

The Provider Transition Coordinator is responsible for collaborating, facilitating, and maintaining key relationships with internal stakeholders to ensure a successful transition for all new Providence employed providers. Responsibilities of this role are to effectively communicate with providers throughout the onboarding and off boarding process. This may include responding to general questions, identifying and resolving issues, researching and resolving inquires from the providers. The incumbent is also responsible for identifying best practices and making recommendations for improvements to the onboarding and off boarding transition process, performing some hospital-based medical staff credentialing and government enrollment functions. The provider concierge also facilitates re-credentialing with the Delegated Credentialing team, to maintain group enrollments with federal and non-delegated payers. This role works collaboratively with others in the Medical Staff Office, the Providence Medical Group, and Human Resources to understand the operations of the departments and support the various aspects of operations as needed.

In this position you will:

  • To implement Providence-wide standard operating procedures into the regional market for the onboarding and offboarding of all employed Providence providers in the regional market that you support.

  • Successfully navigate through the “167-Point Onboarding Process” that includes, but not limited to: • HR processing coordination with HR Service Center (drug screen, background check, etc.). • Coordinate credentialing with delegated payers; Credentialing with non-delegated payers. • Government program enrollment. • Hospital privileging. • Clinic setup (schedule, office, phone, computer, system access). • Orientation (coding education, Providence orientation, compliance training, etc). • Initiate credentialing & privileging packets, obtain all physician information and signatures. Submits packets to Medical Staff Office for hospital privileging. Coordinate with the Medical Staff Offices for hospital privileging. • Coordinate with delegated credentialing committee staff to obtain approval from committee. • Complete entire payer credentialing process for non-delegated payers. - Complete enrollment in WA State delegated L&I program • Completes online enrollment in all government programs, including, Medicare, and Medicaid. • Coordinate the provider departure process for PMG providers. Including timely notification to internal stakeholders when provider and/or Providence give notice of a provider termination. Collaborate with MSO and IT to ensure that provider IT accounts are appropriately maintained through the termination process.      Coordinate ongoing recredentialing with Delegated Credentialing Team for delegated insurance payers after initial credentialing. Maintain master files for clinic credentialing to include CLIA licenses, PA-C Practice Plans, W-9's, certificates of insurance, and other credentialing identifiers as applicable (NPI, Tax-ID, DEA, payer ID). Complete credentialing claim edits in Epic and billing systems, including new enrollments for out of state provider payers, such as Medicaid. Ensure compliance with all federal programs by completing other enrollments related to projects as assigned. Develop and maintain policies for payer credentialing and onboarding. Coordinates notifications of provider departures with payers and government programs. Coordinates and facilitates regular meetings with clinic leadership team and onboarding-related departments to ensure the needs of new providers and local clinics are met. Works with the local ministries within the region to coordinate and facilitate the appropriate payer credentialing for departments or clinics that are beginning or ceasing operations. Actively participate in department or ministry-based performance improvement activities to support the improved efficiency and effectiveness of the team and the ongoing improvement in provider satisfaction. Adapts personal work schedule to meet organizational demands. Communicates in a clear, concise, cooperative, and professional manner.


Required qualifications for this position include:

  • Bachelor's Degree Or equivalent educ/experience

  • Six (6) years of experience working directly with physicians in a clinical setting will be considered in lieu of a Bachelor's degree.

  • 2 years Healthcare experience working with physicians in a clinic or hospital setting.
